Data hygiene matters more than you think (and it’s easier than you think)

No one wakes up excited to clean their Salesforce records. But ignoring it is costing you more than just storage fees.

When your Salesforce is cluttered, your sales team slows down. If a rep has to dig through layers of outdated records, abandoned leads, and duplicate data just to find a phone number, you are losing money (and adoption).

Your Salesforce is an operational tool for sales, not a backup server and definitely not a Data Warehouse (DWH).

If you want a faster pipeline and happier reps, it’s time to ruthlessly focus on the core objects:

  1. Accounts & Contacts: Who are we actually selling to right now?

2. Opportunities & Quotes: What is the active, real revenue on the table?

Tasks & Cases: What needs immediate action or resolution?

  1. Products: What are you actually selling to your customers right now, not the whole SAP catalogue

The 3-Step "Keep It Clean" Framework

You don't need a massive, six-month IT project to fix this. You can start moving the needle this week with three simple rules:

1. The "Archive, Don't Amass" Rule

If an Opportunity died years ago, bury it. Keep only what is absolutely needed for current operations in your active view.

2. The "But what if..." Records

FOMO is the biggest enemy of clean data. The fix? Ship those old, dusty records off to a proper Data Warehouse where they can still be retrieved on-demand. Once they are out of sight, you’ll quickly realize the actual demand to see them is far less than you think.

3. The 90-Day Rule for Tasks

If a Task or Lead hasn't been touched in 90 days, automate a status change to "Stale" or archive it. If everything is a priority, nothing is.
