Cleanup Story · Phase 1 Cleanup · Software for Landlords · USA

Getting AI mess ready for Sales again, $7,900.

A US software company builds highly specialised B2B software for landlords. Its Salesforce was built in one year by engineers, with a lot of help from AI. It was meant for Sales, and Sales could hardly use it.

Most of them gone by deleting automation nobody needed.

Before

Built by engineers, not for the people who sell.

Normal for an Org built fast in its first year. Every idea became a Field or a Flow, and AI made building them quick. Nobody was asked to take anything away.

  • Sales opened an Opportunity and scrolled past hundreds of Fields only an engineer could explain.
  • Random error messages popped up on all kinds of updates.
  • The Task list had been used as a task management board, so Sales could not find their own calls and follow-ups.
  • Many Flows were left over from earlier ideas and still ran on every save.

Usability

How it feels to work in every day?

1 / 10 Unusable

Impact: Sales worked around Salesforce instead of in it. Too many Fields, random errors, and a Task list full of internal work.

Build Quality

How safe is it to change?

1 / 10 Broken

Impact: Built fast by engineers and AI, without Salesforce standards. Flows overlapped on the same records, and every change risked a new error.

Cleanup deep dive

Three things Sales feels every day.

Phase 1 only cleans what Users touch: the Fields, the Bugs and the clutter behind them. Done together with Sales Operations, Field by Field. No new Fields, no new features.

Deep dive 1 · Lead, Account and Opportunity

Only the Fields Sales actually uses.

What we found

Opportunity carried 488 Fields and Lead 308, many of them on the Page Layouts and many added for one idea and never used again. Account was in much better shape and needed only a light cleanup.

What we did

  • Went through every Field with Sales Operations: keep or delete
  • Deleted the Fields nobody uses, from the Page Layouts and from the Org
  • Put the Fields Sales needs every day at the top

Deep dive 2 · Leftover automation and Bugs

About 50 Bugs solved, most of them by deleting.

What we found

A year of fast building had left Flows behind from ideas that were no longer used. They still ran on every save, overlapped on the same records, and caused many of the errors Sales ran into.

What we did

  • Went through the Flows with Sales Operations: still needed or not
  • Deleted the 21 Flows that were no longer needed
  • Checked which Bugs went away with them, and fixed the rest where they happened
~50 Bugs solved 21 Flows deleted
Lead, Account and Opportunity

Random error messages on all kinds of updates.

Why
Several Flows overlapped and fired on the same updates.
Fix
Deleted the Flows nobody needed anymore, so one update runs one clear path.
Who felt it
Sales, on everyday updates.

Deep dive 3 · The Task list

The Task list belongs to Sales again.

What we found

Tasks had been used as a task management board for internal work. The list was full of items that had nothing to do with customers, and Sales could not see their own follow-ups.

What we did

  • Agreed with Sales Operations which Tasks belong in Salesforce
  • Cleared the board items from the Task list
  • Tasks are used for Sales follow-ups only

What the customer said

AI + Web Developer + Salesforce created a mess, at least we have a basic system working again.
